How to Move GLS Clients

Summary
This article provides procedures for moving a GLS client's
data folder from one location to another location. Two different methods
are included. Method 1 is the preferred method.
Version 16, 15, and Client Server Version 14.3 Note: GLS Versions 16
and 15 and Version 14.3 Client Server Version
(CSV) require that the GLS Data Path for all GLS clients be located in the
current working directory, or in a folder under the current working directory.
Furthermore, the GLS Data Path must be stated as a relative path. The GLS current working directory can
be found by starting GLS and selecting Help |
About GLS.
Method 1
Moving a GLS Client with this method requires knowledge of folder structure and file management in the
Windows
environment. The user must copy and paste the Client's data from one folder into another
using Windows Explorer (or other tool). This method is only recommended for those who are
confident in their file management knowledge and abilities.
Note: The path must be in a folder
under the current working directory (or in the current working directory).
Before beginning, close GLS, and have all other users exit GLS. Note:
Attempting to copy files while users are in the software can cause
data to be lost or saved in a mixed state, resulting in invalid data.
To Copy a GLS Client
- Using Windows Explorer, create a new folder for the client's data under the current working directory.
- Manually copy the files from the old data path into the newly created folder.
Note: It is important that the data reside in both locations before
proceeding.
- Open GLS.
- If necessary, select the GLS client whose path you want to change.
- From the Utilities menu, choose Select Different GLS Client.
- Select the desired client and click OK.
Important Note: If you receive a “Path does not exist or you
have insufficient permissions” message while changing GLS client locations,
call Technical Support.
- From the GLS menu, click Utilities and select Edit GLS Client.
- Edit the GLS Data Path for the Client to point to the new folder with the client's data in it.
You must use a relative
path. For example, if you want to store the GLS Data in a folder named GLSClient3 and the Current Working Directory is F:\Tabs3, enter:
GLSClient3\
- Press Tab to move out of the GLS Data Path field. The message "GLS Data already exists in the GLS path" must display to verify that
the correct path is entered.
- Press Ctrl + S to save the changes to this client.
- Run a Data File Integrity Check.
- Once you have verified the data is present in the new location, we
recommend deleting the original folder.
Method 2
This method of moving a GLS client relies on the GLS software to copy the GLS
client's data files to a new location.
Note: When using this method the GLS Client number will change.
To move a GLS client
- You will first need to add a new GLS client.
- From the GLS Utilities menu, select Edit GLS Client.
- Click the drop-down list arrow to the right of the Client Number field to see if there are any unused clients available. If there is an unused
client, you can skip the next two steps.
- Click the Limits button.
- Edit the New Limit field if necessary to make room for the new client and click OK.
- Click the drop-down button next to the Client number field and select an unused client
number and click OK.
- Specify the new data path for the client in the GLS Data Path field of the Edit GLS Client window.
You must use a relative path. For example, if you want to store the GLS data
in a folder named GLSClient3 and your Current Working
Directory is F:\Tabs3, enter: GLSClient3\
- Press Tab to move out of the GLS Data Path field.
- If prompted to create the new path, click Yes.
- Press Ctrl + S to save the new client.
- When prompted if you would like to copy an existing client's Chart of Accounts, select
Yes.
- A Copy Client Data Files window will be displayed.
- Select the Client Number you want to copy from. This would be the client you are going to move.
- Select the Copy old client's account balances check box.
- Select the Copy old client's journal entries check box.
- Select the Copy old client's recurring entries check box.
- Click OK.
- Click OK when the GLS Copy completed message is displayed.
- Close the Edit GLS Client window.
- Use the following procedure to select the new client and run a Data File Integrity Check.
- From the Utilities menu, choose Select Different Client.
- Select the newly added GLS client and click OK.
- From the Utilities menu, select Data File Integrity Check.
- Click OK.
- In the Data File Integrity Check window, make sure the Read Only check box is clear, and then click OK.
- If you want the copied Client to be the default GLS client, or want to change back to the original Client.
- From the Utilities menu, chose Select
GLS Client.
- Select the client you want used as the default client, and select the Make Default checkbox.
- Click the OK button.
- To delete the original GLS Client.
- Click the Utilities menu, and choose Edit GLS Client.
- Select the Old GLS client in the Edit GLS Client window.
- With the Old GLS client selected, click the Delete
button on the toolbar.
- Click Yes when asked to confirm that you want to delete this
Client.
