The information in this article applies to:
PracticeMaster Basic and PracticeMaster Premier can integrate with handheld devices that run on the Windows Mobile® 5.0 operating system (OS) through Microsoft Outlook. Using Microsoft® Exchange Server 2003, Outlook and Windows Mobile handhelds can share e-mail, contact, task, and calendar information in real-time. Coupled with PracticeMaster and Outlook integration, PracticeMaster, Windows Mobile 5.0 handhelds, and Outlook can synchronize and share information.
Handheld devices that run the Windows Mobile 5.0 OS can synchronize with Outlook through Microsoft Exchange Server 2003 using Microsoft® Exchange ActiveSync®. Service Pack 2 (SP2) for Microsoft Exchange 2003 enables Direct Push Technology, which maintains a real-time integration between Outlook and the handheld device. This allows users to access e-mail, contact, task, and calendar information wirelessly since both Outlook and the handheld devices interact with the Microsoft Exchange Server. Updates are done through the server using Exchange ActiveSync and do not need to go through the computer. Thus, a user's computer does not need to be running in order to receive updates on the handheld.
Technical Note: If a user does not have SP2 for Microsoft Exchange Server 2003, synchronizations need to be scheduled or performed manually by running Microsoft ActiveSync from the computer. In this case, the user's computer needs to be on for synchronization to occur.
For PracticeMaster to be integrated with Windows Mobile 5.0 handhelds, Outlook must be used as a "go-between" that facilitates interactions between PracticeMaster and the handheld. Through this integration, Windows Mobile 5.0 handhelds and PracticeMaster can share e-mail, contact, task, and calendar information using Outlook and Microsoft Exchange Server 2003. The direct links are between Outlook and Windows Mobile 5.0 handhelds and between Outlook and PracticeMaster, as shown in Fig. 1 below.

Fig. 1, PracticeMaster, Outlook, and Windows Mobile 5.0 Handhelds Interactions |
Windows Mobile 5.0 handhelds use the Windows Mobile 5.0 OS and can integrate with Microsoft Outlook through Microsoft Exchange Server 2003. The Windows Mobile OS was designed to integrate smoothly with Microsoft applications that run on a Windows 2000 or XP computer, including Outlook. Integration between the handheld and Outlook on the computer is done through mirror applications that run on the Windows Mobile OS but act the same as those on the computer, such as Outlook Mobile. Through Microsoft Exchange Server SP2, e-mail, contact, task, and calendar information in Outlook can be synchronized so that it is the same on the computer as it is on the handheld. Changes made in one location will be updated in the other location in real-time.
PracticeMaster and Outlook can integrate and share e-mail, contact, task, and calendar information. Through this integration, users are able to manage their e-mail, contacts, tasks, and calendar information using PracticeMaster or Outlook. This is especially beneficial because changes made in one system are accessible in the other. The synchronization of information from PracticeMaster to Outlook is done in real-time while the synchronization from Outlook to PracticeMaster is done manually. For more information on setting up integration between PracticeMaster and Outlook, see KB Article R10942, "Configuring PracticeMaster/Microsoft Outlook Calendar & Contact Information."
With integration between Windows Mobile and Outlook and between PracticeMaster and Outlook, information updated in PracticeMaster will be passed to the handheld via Outlook in real-time. Updates made in the handheld will be passed to PracticeMaster via Outlook during the next PracticeMaster Outlook sync. Fig. 2 below provides a visual depiction of these interactions.

Fig. 2, PracticeMaster Integration with Windows Mobile 5.0 Handhelds Through Outlook |
When synchronizing the e-mail feature of Outlook with the handheld, the personal folders that appear in Outlook also appear in the handheld. Furthermore, messages moved from one folder to another in either the computer or handheld will be reflected in the other location. E-mail messages that are sent from the handheld are copied to Outlook's Sent Items folder in both the desktop and the handheld. These messages are then accessible for filing as PracticeMaster journal records. Additionally, e-mail messages that are deleted from Outlook Mobile on the handheld are also deleted from Outlook on the computer, and vice versa. Similarly, when meeting invitations are accepted (or declined) from the handheld, the events are automatically added to the calendar and updated in Outlook on the computer and in the handheld.
There are many handheld devices that run the Windows Mobile 5.0 operating system. The following sections describe two commonly used handhelds that run the Windows Mobile 5.0 platform and can be integrated with PracticeMaster via Outlook.

Fig. 3, Treo 700w Image |
The Palm Treo 700w smartphone (Fig. 3) has the capabilities to act as a phone, messaging system, Internet browser, and PDA. Unlike other Treo smartphones, the Treo 700w runs on the Windows Mobile 5.0 operating system instead of the Palm OS®. Thus, unlike other Palm handhelds, integration with PracticeMaster is done through Outlook and does not require the PracticeMaster Palm conduits. The Treo 700w uses Outlook as the "go-between" that facilitates integration with PracticeMaster.
As mentioned, Windows Mobile 5.0 handhelds can use Microsoft Exchange Server 2003 with SP2 to receive real-time updates of e-mail, contact, task, and calendar information. These handhelds can also manually sync with the computer through ActiveSync. Treo 700w handhelds use a USB ActiveSync cable for manual syncs. The Treo 700w can also integrate e-mail with POP3 or IMAP accounts such as Gmail™ or EarthLink®.

The Motorola Q, also known as 'Moto Q' or 'Q' (Fig. 4), is a Windows Mobile 5.0 OS powered smartphone. It works with Microsoft Exchange Server to integrate e-mail, contact, task, and calendar information with Microsoft Outlook.
The Motorola Q synchronizes with Outlook automatically through Microsoft Exchange Server but can also synchronize with Outlook manually using Microsoft ActiveSync. It is connected to the computer through a built-in mini-USB port.
