When configuring the Palm Conduits in PracticeMaster using the Palm
Synchronization Setup program, there are several HotSync options available. This article
will help you determine which HotSync Action is the best option for your
situation as well as indicate any other options and procedures that must be
implemented in order to ensure the best possible synchronization
experience.
Review the following situations to determine which example best matches your
particular situation.

Situation 1: There are entries in the Palm and entries in PracticeMaster, and you want to keep the private entries in the Palm while overwriting all common (i. e., non-private) entries with data from PracticeMaster. There are two ways you can accomplish these goals. Use either Solution 1 or Solution 2 on the right.

Solution 1:
Before running the HotSync, delete all of the common records from the Palm.
Make sure the records you want to keep out of PracticeMaster are marked as private in the Palm.
Make sure PracticeMaster is configured to not synchronize private Palm records. To do so:
From the Palm Synchronization Setup program, click Next until the Synchronization Preferences panel is displayed.
Click Preferences next to the first record type.
On the General tab, make sure the Synchronize private Palm... records check box is cleared.
Click OK to close the Preferences window.
Repeat steps b through e for each record type.
Click Next until the HotSync Action panel is displayed. Select Synchronize the records for each record type, as applicable.

Solution 2:
Before running the HotSync, delete all of the common records from the Palm.
Make sure PracticeMaster is configured to not synchronize private Palm records. To do so:
From the Palm Synchronization Setup program, click Next until the Synchronization Preferences panel is displayed.
Click Preferences next to the first record type.
On the General tab, make sure the Synchronize private Palm... records check box is cleared.
Click OK to close the Preferences window.
Repeat steps b through e for each record type.
Click Next until the HotSync Action panel is displayed. Select Merge PM records with Palm (next sync only).

Situation 2: You used to synchronize PracticeMaster to Outlook and synchronize Outlook to the Palm. There are entries in both PracticeMaster and the Palm, and some are duplicates. Furthermore, some of the entries are private. |
Make sure the records you want to keep out of PracticeMaster are marked as private in the Palm.
Make sure any records that should not appear on the Palm are marked as private in PracticeMaster.
Make sure PracticeMaster is configured to not synchronize private records. To do this:
From the Palm Synchronization Setup program, click Next until the Synchronization Preferences panel is displayed.
Click Preferences next to the first record type.
On the General tab, make sure the Synchronize private Palm... records check box is cleared.
Likewise, to prevent private PracticeMaster records from being synchronized to the Palm, make sure the Synchronize private PracticeMaster... records check box is cleared.
Click OK to close the Preferences window.
Repeat steps b through e for each record type.
Click Next until the HotSync Action panel is displayed. Select Synchronize the records for each record type, as applicable.
Run the HotSync.
After HotSyncing, delete any duplicate records that appear in PracticeMaster or in the Palm.

Situation 3: There are entries in the Palm and entries in PracticeMaster, and you want to keep all entries that are in both. There are no duplicate records (i.e., records that exist in both systems). |
In the HotSync Action panel of the Palm Synchronization Setup program, select Synchronize the records. Keep in mind, though, that if there are any private records on the Palm that you want to keep out of PracticeMaster, you must mark them as Private in the Palm and configure PracticeMaster to not import private Palm records before performing a HotSync.
To configure PracticeMaster to not import private Palm records:
From the Palm Synchronization Setup program, click Next until the Synchronization Preferences panel is displayed.
Click Preferences next to the first record type.
On the General tab, make sure the Synchronize private Palm... records check box is cleared.
If you also want to prevent private PracticeMaster records from being synchronized to the Palm, make sure the Synchronize private PracticeMaster... records check box is also cleared.
Click OK to close the Preferences window.
Repeat steps b through e for each record type.

Situation 4: There are entries in the Palm and entries in PracticeMaster, but you don't care about saving the Palm entries. |
In the HotSync Action panel of the Palm Synchronization Setup program, select Overwrite ALL Palm records with PM records (next sync only). All records on the Palm will be overwritten (i.e., removed). |
Situation 5: There are no entries in the Palm at all. |
In the HotSync Action panel of the Palm Synchronization Setup program, select either Synchronize the records or Overwrite ALL Palm records with PM records (next sync only). |
Situation 6: There is no data in PracticeMaster and you want the Palm data synchronized to PracticeMaster. |
In the HotSync Action panel of the Palm Synchronization Setup program, select Synchronize the records. |
Situation 7: You always want PracticeMaster to overwrite the data on the Palm and you never want to keep any information that was entered on the Palm. |
In the HotSync Action panel of the Palm Synchronization Setup program, select Overwrite ALL Palm records with PM records. |
Situation 8: You always want to overwrite PracticeMaster entries on the Palm and you want to keep all information that was entered on the Palm. |
In the HotSync Action panel of the Palm Synchronization Setup program, select Overwrite Only PracticeMaster records in Palm.
Note: This option is not available in Version 11. |
