Configuring PracticeMaster/Microsoft® Outlook® Calendar & Contact Integration (Ver. 15 & Prior)

Summary

PracticeMaster can be configured to integrate Calendar records and Related Party records with Outlook. 

More Information

In order to integrate calendar and related party records with Outlook, Outlook Integration must first be configured in System Configuration. In User Configuration, select the user you want to integrate with Outlook and then select the Outlook check box (File | Open | Users). Clicking the Configure button displays an Outlook Synchronization window. This window can also be accessed from within PracticeMaster using the Outlook Synchronization program (Maintenance | Integration | Outlook Synchronization). The Outlook Synchronization window allows you to configure calendar and contact integration as shown below.

User Configuration

The User Configuration window in System Configuration is used to configure Outlook integration by selecting the Outlook check box. Clicking the Configure button displays an Outlook Synchronization window as shown here. The Exchange User field allows you to map an Exchange User to the User ID (provided Microsoft's Exchange Server has been installed and configured).

The Calendar tab in the Outlook Synchronization window allows you to specify what type of calendar integration you want to use as well as what calendar records you want to integrate.

Contacts Tab

The Contacts tab in the Outlook Synchronization window allows you to specify what type of contact integration you want to use as well as what contacts/related parties you want to integrate.

Clicking the Outlook Folder button on the Contacts tab displays a "Select Outlook Contact Folder" window allowing you to specify which Outlook Contact folder you want to integrate with PracticeMaster Related Parties.

Clicking the Field Mapping button on the Contacts tab displays an "Outlook Contact Field Mapping" window allowing you to change the default field mapping for Outlook Contacts and PracticeMaster Related Parties.

Clicking the Category Mapping button on the Contacts tab displays an "Outlook Category Mapping" window allowing you to map Outlook Categories to PracticeMaster Related Party Categories.

PracticeMaster Outlook Synchronization Program

When configured for two-way integration, any new records added to PracticeMaster are automatically added to Outlook (provided the records fall within the criteria specified in the Outlook Synchronization window). If desired, the Outlook Synchronization program in PracticeMaster can be run to synchronize records added in PracticeMaster prior to setting up the integration to Outlook. Additionally, records added in Outlook can be synchronized to PracticeMaster.

When the Outlook Synchronization program is run, the following window will be displayed if the number of changes in PracticeMaster or Outlook reaches the number of changes specified in the Outlook Synchronization program. This window can be used to verify the additions, changes, and deletions in each system before they are made.
