Network and Multi-User Functionality in the Software

The multi-user version of Tabs3 and PracticeMaster software allows multiple users to simultaneously perform data entry, generate reports and view information. However, not all functions can be accessed at the same time. This is because different functions require different levels of control over the program’s data files.

This article reviews the different levels of control and also lists which functions are available for all Version 10 programs.

LEVELS OF CONTROL

Exclusive	An Exclusive function requires exclusive control of the specific system’s data files. Only one user will be allowed to access the program if such a function is invoked. For example, when using the Renumber Timekeeper program in PracticeMaster, no other users are allowed to access any other PracticeMaster program.
Single Access	A Single Access function can only be accessed by one user at a time. Other users can access other functions of the software. For example, when using the Holidays by Venue program in PracticeMaster, no other users can access the Holidays by Venue program. However, other users will be able to use other PracticeMaster functions. Note: Any single user function will log you into the software as an additional user. For example, if you are in the fee file in Tabs3 and then open the Pre-Bill Tracking program, you will be shown as logged in twice, once for the Fee file and once for Pre-Bill tracking. Single Access functions count towards the maximum number of active users allowed to access the software at any given time.
Multi-Access	A Multi-Access function can be accessed by multiple users simultaneously. Also, other Multi-Access functions can be accessed at the same time by other users. A single user can have more than one Multi-Access function open at the same time. For example, when one user is editing a client, other users can also edit clients at the same time. Note: When a user saves a record, the software automatically locks the necessary data file(s). If another user attempts to save a record during the time in which these files are locked, the system will wait until the first save operation has completed. Typically, the delay caused by the file locking is imperceptible. However, if the wait time exceeds 30 seconds, a "File Lock Timeout" error will occur. This error is unlikely to occur and is caused by exceptionally heavy network activity or problems with the network.
Function that Prohibits Access to Other Functions	This type of function restricts functions in other programs from being performed. For example, when accessing the Back Up Data Files program in PracticeMaster, other users will not be allowed to access any Tabs3 or TAS programs. Note: These restricted functions apply to single user systems as well as multi-user systems.
Super Exclusive	A Super Exclusive function requires exclusive control of all systems' data files. Only one user will be allowed to access the system with a program that requires exclusive control. For example, when using the Restore Data Files program in System Configuration, no other systems can be open.

Super Exclusive Functions

The following System Configuration function is a Super Exclusive function and requires exclusive control of all systems' data files. Only one user will be allowed to access the system with a program that requires exclusive control.

The following System Configuration functions are Exclusive functions and require exclusive control of the System Configuration data files. Only one user will be able to access the System Configuration function if such a function is invoked.

Multi-Access Functions

The following System Configuration functions are Multi-Access functions and can be accessed by more than one user at the same time.

¹The Restore Data Files program in System Configuration is a Super Exclusive function and requires all users to exit all other software.

Tabs3 Functionality

Exclusive Functions

The following Tabs3 functions are Exclusive functions and require exclusive control of the Tabs3 data files. Only one user will be allowed access to Tabs3 if such a function is invoked.

¹Although Tabs3 Customization is an Exclusive Function, users are able to browse the Customization options while other users are accessing the software.

Single Access Functions

The following Tabs3 functions are Single Access functions and can be accessed by only one user at a time (i.e., other users can access other Tabs3 functions).

Multi-Access Functions

The following Tabs3 functions are Multi-Access functions and can be accessed by more than one user at the same time.

¹It is possible for multiple users to access the same record at the same time. If this occurs and changes are made to the same record, then the changes made by the user who saves the record last will overwrite any previously saved changes.

¹ Although Word Document Assembly is a Multi-Access function, when coding a Word Document Assembly template, no other PracticeMaster function can be used by the same user.

TAS Functionality

Note: If a user has Fast Access Mode enabled and is accessing a program that can write to the data files, then the function is considered an exclusive function. Other users will be prohibited from accessing other TAS functions. Further, if another user attempts to perform a function in Tabs3 that accesses the TAS data files (e.g., Client Information), the Tabs3 user will be prohibited from accessing the function until the TAS user disables Fast Access Mode.
